Shiawase Home Co., Ltd. ("Shiawase Home", "we") is a licensed real-estate company located at 1-12-9 Tenjinio, Chuo Ward, Niigata City, Niigata 950-0905, Japan. This policy covers personal information we handle through our website (shiawasehome-japan.com), our contact forms, our official social media accounts (including Instagram @shiawasehome_japan and our Facebook Page), and messages you send us through those platforms.

2. Information we collect

• Contact details you provide (name, email address, phone number)
• Inquiry content, including messages sent via our contact forms
• Messages you send to our official accounts on Instagram or Facebook Messenger, together with your public profile name/username on those platforms
• Property preferences and viewing/appointment requests
• Basic website analytics (pages visited, referral source) via standard analytics tools

3. How we use it

• Responding to your inquiries and providing property information
• Arranging viewings, open-house visits, and real-estate transactions
• Managing customer relationships in our internal customer database
• Legal compliance under Japanese real-estate law (宅地建物取引業法)

We do not sell personal information. We do not use messaging data for advertising audiences without separate consent.

4. Third-party services

We use a small number of service providers to operate our website and respond to inquiries: website hosting and form processing, content delivery, email delivery, our customer-relationship database, and Meta Platforms (Instagram / Facebook) for social messaging. Each provider processes data only as needed to provide its service. Messages sent on Instagram/Facebook are also subject toMeta's Privacy Policy.

5. Use of AI (automated processing)

We use artificial-intelligence (AI) tools in parts of our operations, and some of your information may be processed by them:

• Inquiry processing: inquiries and messages you send us (via our contact forms, email, or Instagram/Facebook messaging) may be automatically translated, summarized, and routed to the appropriate staff member using AI. On our social messaging channels, an initial response may be generated automatically by an AI assistant; substantive matters are always handled by our staff.
• Transcription: voice recordings related to your inquiry may be transcribed automatically.
• Marketing content: images, videos, and text we publish — including property videos and posts on our Instagram and Facebook accounts — may be created or edited using AI. Where a platform supports it, such content is labeled as AI-generated.

AI service providers process this data on our behalf and only to the extent needed to provide the service. No decision with legal or similarly significant effect on you is made solely by automated means — property transactions and all substantive decisions are made by our licensed staff.

6. Retention

We keep inquiry and transaction records for as long as needed to serve you and to meet legal record-keeping obligations, after which they are deleted or anonymized.

7. Your rights & data deletion

You may request disclosure, correction, or deletion of your personal data at any time. To request deletion of data we hold about you — including data collected from your messages to our Instagram or Facebook accounts — contact us by either method below and tell us the name/username or email address the data relates to:

We will verify the request, delete the corresponding records from our systems within 30 days, and confirm completion to you. Note that records we are legally required to retain under Japanese real-estate law are deleted after their statutory retention period instead.
